If what you need is outside what I take on, I will say so in the first reply and tell you what kind of resource it needs instead.
What to include
The more of this that is in the first message, the more specific my first answer can be.
- The payer, or payers, the problem is with.
- The denial or remark codes you are seeing, if you have them in front of you.
- How long the claims have been open, and roughly how much is sitting in aging.
- Practice size: number of clinicians, and roughly how many claims a month.
- What EHR and clearinghouse you are on.
- What you have already tried, and what the payer told you when you tried it.
Before you write
Do not send protected health information by email.
No client names, dates of birth, member IDs, claim numbers tied to an individual, or screenshots of a chart or remittance. Standard email is not a secure channel, and a first inquiry does not need PHI in it.
Describe the problem in general terms. A business associate agreement and a secure channel get set up before anything identifiable moves.
